FDI World Dental Federation (“FDI”, “we”, “us” or “our”) is committed to safeguarding your privacy. This Privacy Policy explains how personal information is collected, used, stored and shared when you use the FDI Young Dentists Community online platform (the “Community”). It is intended to complement FDI’s main Privacy Policy and to describe the additional processing associated with a member community platform.
We may update this Privacy Policy from time to time. The current version will be published on the Community. Where changes are significant, we may also provide notice through the Community or by email, where appropriate.
1. Who is responsible for your information
The data controller for the Community is FDI World Dental Federation, registered in Geneva, Switzerland (registered number CHE-114.838.406).

2. Information we collect
The information we collect depends on how you use the Community. It may include:
identity and profile information, such as your first and last name, photograph, date of birth or age range, gender where provided, country or location, and other profile information you choose to provide;
contact information, such as your email address, postal address and telephone number where provided;
professional and education information, such as dental school or university, graduation year, qualifications, employer, role, professional interests and career information;
Community participation information, including events, mentoring or networking activities, surveys, competitions and other initiatives in which you participate;
content you submit to the Community, such as posts, announcements, comments, photos, documents, events, opportunities and other contributions;
communications you send to FDI or, where the functionality is available, messages you send to other Community members through the platform;
consent choices, communication preferences and privacy settings;
technical and usage information, such as IP-derived location, browser or device information, log-in records, pages viewed, resources accessed, links clicked and activity on the Community; and
transaction records where a payment is made through the Community. FDI does not intend to store full payment-card details where payments are processed by an external payment provider.
3. How we collect information
We may collect personal information when you create or update a Community profile; visit or use the Community; post or share content; register for or attend an event; participate in a survey, mentoring, networking or other Community activity; communicate with FDI by email, telephone, social media, post or through the Community; open or interact with Community emails; or use direct-messaging features.
FDI may also already hold information about you through an existing relationship with FDI. Where appropriate and lawful, relevant information may be used to establish, verify or maintain your Community record and avoid duplicate records.
4. How we use your information
We use personal information only where we have an appropriate basis to do so. Depending on the circumstances, we may use it to:
create, administer and secure your Community account and profile;
provide the information, services or updates you request;
enable networking, mentoring, events, discussions and other Young Dentists Community activities;
allow other Community members to find or connect with you in accordance with the platform’s functionality and your privacy settings;
send service messages and, where permitted, newsletters, event invitations and other FDI or Young Dentists Community communications;
respond to enquiries and provide support;
maintain accurate records and manage consent and communication preferences;
understand use of the Community, measure engagement and improve FDI’s websites, platforms, programmes and communications;
protect the Community, FDI and its users, prevent misuse, and comply with legal or regulatory obligations; and
anonymise or aggregate information for statistical, research or service-improvement purposes so that it no longer identifies an individual.
5. Legal bases for processing
Depending on the processing and the law that applies, FDI may rely on one or more of the following: your consent; the need to perform a contract or take steps at your request; FDI’s legitimate interests in operating and improving the Community and communicating with its professional community, where those interests are not overridden by your rights; and compliance with applicable legal obligations.
Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn.
6. Your profile, privacy and communication preferences
If you have an online Community profile, you can use the available account or settings controls to update profile information, communication choices and privacy settings. The exact controls may change as the platform evolves.
Some basic information, such as your name and information you choose to make visible, may appear in member searches, directories, recent-member areas, event participation lists or other Community features. Please review your privacy settings and the information you choose to publish.
You can opt out of marketing or newsletter emails by using the unsubscribe option in the relevant email or by contacting FDI. Essential service or administrative communications may still be sent where necessary to operate your account or the Community.
7. Who may have access to your information
FDI does not sell your personal information. We may disclose or provide access to information where necessary to:
service providers that support the Community, including ToucanTech as the community-platform provider, and providers of hosting, email, analytics, security, search, payment or other technical services;
partners or service providers involved in an event, programme or activity for which you register, where the relevant use of your information is explained at registration or otherwise communicated to you;
professional advisers, regulators, law-enforcement authorities or other bodies where disclosure is required or permitted by applicable law; and
a successor organisation or relevant party in connection with a merger, restructuring, acquisition or similar organisational transaction, subject to appropriate protection of your information.
Service providers are expected to process personal information only as needed to provide their services and subject to appropriate data-protection obligations.
7.1 Sharing aggregated information with Community Partners
We may share aggregated and anonymised statistics about the FDI Young Dentists Community with our Community Partners. This may include, for example, information about Community membership, geographic distribution, professional demographics, participation in activities or events, and engagement with Community content.
Any information shared for these purposes will be aggregated or anonymised so that individual Community members cannot reasonably be identified. We will not share your personal data with Community Partners for their own marketing or other purposes without your consent, unless we are otherwise legally permitted or required to do so.
These statistics may be used to help FDI and its Community Partners understand the reach and impact of the Community, evaluate activities and partnerships, and support the development and improvement of programmes and opportunities for young dentists.
8. International transfers
Because FDI operates internationally and uses service providers, personal information may be processed in countries other than the country in which you provided it. Those countries may have different data-protection laws. Where required, FDI takes reasonable steps and uses appropriate safeguards to protect personal information transferred internationally.
FDI’s main Privacy Policy also explains that the nature of the Internet may result in information being transmitted, stored or processed outside the country where it was originally provided.
9. Security
FDI uses reasonable organisational and technical measures designed to protect personal information. The Community is provided using third-party technology and security controls appropriate to the service. Access to personal information is limited to authorised persons who need it for their work or to provide services to FDI.
You are responsible for keeping your account credentials confidential and should not share your password with anyone. No Internet transmission or online system can be guaranteed to be completely secure, so information submitted online is transmitted at your own risk.
10. Cookies, analytics and usage information
The Community may use cookies and similar technologies to operate the service, remember settings, understand usage and improve the user experience. Technical and usage information may be collected in aggregated or individual form depending on the technology and settings used.
Where required, non-essential cookies or similar technologies will be used in accordance with applicable consent requirements. Please refer to the cookie information or controls made available on the Community for current details.
11. External links and social media
The Community may contain links to external websites, applications or social-media platforms. Those services operate under their own terms and privacy policies. FDI is not responsible for the privacy practices or content of external services, and users should review the relevant policies before providing personal information.
If social-sharing features are used, the relevant social-media platform may receive information about the interaction in accordance with that platform’s own privacy practices.
12. How long we keep your information
FDI retains personal information for as long as reasonably necessary for the purpose for which it was collected, to maintain the Community and FDI’s relationship with you, and to meet legal, accounting, security or other legitimate requirements. Different categories of information may have different retention periods.
If you unsubscribe from communications, FDI may retain limited information needed to record and respect that preference. If you request deletion, information may be deleted, anonymised or retained where a legal or legitimate reason requires it.
13. Your rights and data deletion
Depending on the law applicable to you, you may have rights to request access to personal information, correction of inaccurate or outdated information, deletion, restriction of processing, data portability, objection to certain processing, and rights relating to automated decision-making or profiling. These rights may be subject to legal limits or exemptions.
To request deletion of personal data linked to your identity, or to exercise another privacy right, contact webmaster@fdiworlddental.org. Consistent with FDI’s main Privacy Policy, content such as reviews, comments or past survey contributions may in some circumstances remain visible after deletion but be dissociated from your identity and attributed to an anonymous user.
You may also update information directly through the Community where account settings permit.
14. Young users
The Young Dentists Community is intended for dental professionals and other eligible adult users. FDI does not knowingly intend to collect personal information from children through the Community. If you believe a child has provided personal information, please contact FDI using the details below.
15. Governing law
Consistent with FDI’s main Privacy Policy, this Privacy Policy is governed by the laws of Switzerland, subject to any mandatory rights you may have under other applicable data-protection laws.
